Office of Student Financial Services

Job Summary:

The Office of Student Financial Services seeks a Financial Records Assistant to perform a wide variety of accounting, customer service, record-keeping, and complex technical functions, specifically concerning student financial aid and billing.

Minimum Qualifications:

The ideal candidate will be a high school graduate, have 5-7 years of progressively responsible secretarial/clerical work or any combination of training, experience and education sufficient to indicate an ability to do the work. All candidates must also be able to demonstrate general computer proficiency with Microsoft Office Suite.

6B-Intermediate Office Organization

Consistently demonstrates ability to manage operational aspects of the office with minimal to no supervision, including time management, information distribution, and project deadlines. Consistently demonstrates ability to file documents and student records using standard filing procedures as well as a familiarity with retention policies.

7C-Advanced Record & Data Processing

Consistently demonstrates ability to process forms and records and generate reports utilizing systems such as SIS, IAPROD, Focus and Banner. Demonstrates ability to independently investigate and resolve complex problems such as missing or inaccurate data. Consistently demonstrates extremely strong attention to detail.

9C-Advanced Auditing & Data Reconciliation

Consistently demonstrates ability to reconcile records for accuracy and integrity. May need to create and track budgets or purchase orders. Errors are located using extremely keen attention to detail. Errors committed are of great severity, and overall risk to institution is high.

12B-Intermediate Data Management (Software)

Effectively demonstrates intermediate knowledge of supported data management software used in department. Consistently demonstrates speed and accuracy and ability to operate data management software with no guidance.

15B-Intermediate Interpersonal Communication

Consistently demonstrates courtesy, tact and professionalism, as well as sensitivity to the concerns or interests of others in conveying information. Demonstrates patience and the ability to handle difficult people.

17B- Intermediate Responsibility

Consistently demonstrates ability to prioritize, coordinate and complete (start to finish) basic work assignments with minimal to no assistance or instruction, such as preparing faculty appointment letters.

20B- Intermediate Regulatory Knowledge

Consistently demonstrates comprehensive knowledge of laws and government regulations and enforcement systems that apply to department’s operation.

Essential Functions:

  • Coordinate and execute all computer-related financial data entry, including the tracking of payments. Run reports as needed.
  • Post all payments received to appropriate database
  • Communicate with outside vendors; follow up as needed
  • Manage hard copy files of all receipts and payments
  • Perform daily accounting of payments, manually and electronically
  • Reconcile all received payments and receipts for accuracy
  • Process credit card or online payments when appropriate
  • Prepare deposits, check requests, and purchase orders
  • Possess basic knowledge of state or federal regulations as required by the position
  • Provide billing statements and any necessary documents for students and families
  • Consistently demonstrate courtesy, professionalism, and strong customer service skills
  • Perform other job-related duties as required

Preferred Qualifications:

1-2 years of experience in a Higher Education administration highly preferred.

About the Department:

The Marist College Office of Student Financial Services is committed to providing affordability options and managing the equitable distribution of student aid funds. The office coordinates student employment both on and off campus, student billing, and financial literacy. We are dedicated to promoting accessibility through personalized service and integrity. 

Normal office hours are from 8:30 am to 6:00 pm. We encourage our staff to avoid vacations during April, early May and mid-August to mid-September. Extra hours will be required during the beginning of each semester when working with enrollment and billing deadlines. Occasional early morning and evening overage is required. All staff is required to participate during Open House weekend and on two weekends (2 Saturdays and 2 Sundays) for orientation for incoming freshmen and transfer students.
