Job Summary:

The Marist College Center for Career Services invites applications for the position of Records Clerk (CL-5). The Records Clerk (CL-5) provides support to a department or office by carrying out specific, clearly defined file and data management tasks.

Physical Effort & Work Environment: The work environment consists of exposure to physical conditions typical of a normal office environment. Most of the job is performed while sitting, although the work may require occasional standing or walking and/or the lifting and carrying of small objects.

Blackout dates/periods: First two weeks of the semester, Orientation dates, Career Fair and event/workshop dates, and the last two weeks of the semester.

Minimum Qualifications:

The ideal candidate will be a high school graduate, have 1-3 years of progressively responsible secretarial/clerical work or any combination of training, experience and education sufficient to indicate an ability to do the work.  All candidates must be able to demonstrate general computer proficiency with Microsoft Office Suite.

  • 1A-Basic Reception/Response: Consistently demonstrates ability to take basic information from inquiries (telephone, e-mail, or in-person) and forward to appropriate person for a response. Directs visitors as needed
  • 6B-Intermediate Office Organization: Consistently demonstrates ability to manage operational aspects of the office with minimal to no supervision, including time management, information distribution, and project deadlines. Consistently demonstrates ability to file documents and student records using standard filing procedures as well as a familiarity with retention policies
  • 7A-Basic Record and Data Processing: Consistently demonstrates ability to accurately process routine forms and records at an average speed, including data entry, copying, distribution, and filing. Consistently demonstrates attention to detail
  • 15A-Basic Interpersonal Communication: Consistently demonstrates courtesy, tact and professionalism in all exchanges of information
  • 16A-Basic Judgment: Consistently demonstrates ability to reference operational procedures within department on routine matters and select suitable response with minimal guidance
  • 18A-Basic Organizational Knowledge: Consistently demonstrates working knowledge of immediate work area and department

Essential Functions:

  • Maintain one specific hard or soft copy system of filing;
  • continually update data information
  • Fill student or staff requests for forms or information
  • Utilize basic levels of Microsoft Office to track files, update
  • forms or request further information when necessary
  • Provide clerical or reception support as needed, answer
  • questions when appropriate
  • Possess organizational knowledge of institution as required by
  • position
  • Consistently demonstrate courtesy, tact, professionalism and
  • the ability to handle difficult people
  • Perform other job-related duties as required
