Job Summary:

Library Assistants are responsible for a variety of technical and clerical tasks associated with the ordering, cataloging, and processing of materials, as well as other necessary tasks in direct support of the library. Work is performed independently, following a well-defined set of rules and procedures.

The library is currently seeking a Library Assistant to fulfill duties primarily associated with Public Services and Circulation. These duties include: covering the circulation supervisor desk, participating in the scheduling and oversight of student employees, overseeing the library during the evenings, managing the closing of the building, and providing good customer service to library patrons including students, faculty, and other members of the Marist community.

Physical Effort & Work Environment
The work environment consists of exposure to physical conditions typical of a normal office environment. Most of the job is performed while sitting, although the work may require occasional standing or walking and/or the lifting and carrying of small objects.

Required hours, when vacation and leave time may not be used, include midterm and final exam periods. During these periods the library is open extended hours and the work shifts are until 12:00 am on weekends during midterms and until 2:00 am on weekends during finals.

Minimum Qualifications:

  • High school diploma
  • 3-5 years of progressively responsible secretarial/clerical work or any combination of training, experience and education sufficient to indicate an ability to do the work.
  • All candidates must also be able to demonstrate general computer proficiency with Microsoft Office Suite.

Consistently demonstrates ability to file documents and student records using standard filing procedures as well as a familiarity with retention policies

Effectively demonstrates intermediate knowledge of various web-based search engines used in department. Consistently demonstrates ability to operate navigational tools with no guidance

Consistently demonstrates courtesy, tact and professionalism, as well as sensitivity to the concerns or interests of others in conveying information. Demonstrates patience and the ability to handle difficult people

Essential Functions:

Library Assistants at the James A. Cannavino Library perform the following essential functions.

  • Order, receive, process, lend, borrow, research and claim library materials and supplies using a variety of systems
  • Cover the Archive's Research Room desk, assist researchers (pulling collections, prepare Use Agreements, etc.) and digitize various archival materials.
  • Support patrons in accessing library materials
  • Purchase and catalog library materials using OCLC, Voyager, and the Integrated Online Library System (IOLS) holdings information
  • Maintain IOLS shelf-list, bibliographic records, and OCLC holdings information
  • Maintain and process reserve items in the database files
  • Sort and distribute office mail on a daily basis
  • Assist in processing of gifts and maintaining of circulation and patron files shortages
  • Fill in at the Circulation Desk during peak periods or staff shortages
  • Greet all queries and requests with courtesy and tact, and in a manner consistent with policies and procedures
  • Make contact with College Housekeeping, Maintenance, and Security to report problems, keep logs,and follow up on requests
  • Provide upkeep of reprographic machines, carry out bindery repairs
  • Perform other job-related duties as required
