Job Summary:

Reports to the Associate Vice President of Development and provides essential work, including creating correspondence, processing and compiling information, exercising independent judgment, coordinating calendars and campaign events, and preparing reports. These tasks are vital to the team’s operations and delivering results in fundraising for the college.

Physical Effort & Work Environment
The work environment consists of exposure to physical conditions typical of a normal office environment. Most of the job is performed while sitting, although the work may require occasional standing or walking and/or the lifting and carrying of small objects

Minimum Qualifications:

3C-Advanced Calendar Management


Consistently demonstrates ability to manage calendar (tasks, meetings, events, schedules, correspondence) of supervisor and/or department, schedule meetings without consultation with supervisor, and notify participants

4C-Advanced Event Organization


Consistently demonstrates ability to organize and coordinate events (meetings, workshops, seminars, or receptions) with minimal consultation or independently. (Examples could include scheduling speakers and securing meeting room, creating invitations, food & beverages, overnight accommodations). May be asked to supervise events

5C-Advanced Written Communication


Consistently demonstrates ability to create complex correspondence with speed and accuracy. May be required to communicate or respond independently, utilizing advanced knowledge of supported word processing software

6C-Advanced Office Organization


Consistently demonstrates ability to independently manage operational aspects of the office including time management, event supervision, project timelines, and confidential papers. Consistently demonstrates ability to file documents and records using complex filing procedures, as well as a strong knowledge of retention policies

13C – Advanced Presentation (Software)


Effectively demonstrates advanced knowledge of supported presentation software used in department Consistently demonstrates accuracy and ability to tutor others

16C – Advanced Judgment


Consistently demonstrates ability to reference operational procedures within department on diversified projects and situations requiring independent assessment

17C – Advanced Responsibility


Consistently demonstrates ability to independently complete (start to finish) complex work assignments, such as major event planning, data reporting, or program coordination

Essential Functions:

  • Serve as initial contact over the phone, in person and online, for stakeholders, parents, and the general public. Answer questions as able or refer inquiries to appropriate person
  • Schedule appointments and maintain staff calendars
  • Screen and prioritize office main
  • Coordinate and supervise department wide events
  • Create correspondence on behalf of the Associate Vice President of Development and office. Proofread documents
  • Input data into department computer system. Information may be of a confidential nature
  • Process information, including contract preparation
  • Complete or oversee office purchases
  • Reconcile information such as financial records, travel expenses, etc
  • Track and maintain department budgets
  • Complete individual tasks and exercise judgment as permitted
  • Train and supervise student workers
  • Possess intimate knowledge of entire institution as required by position
  • Consistently demonstrate courtesy, tact, professionalism and the ability to handle difficult people
  • Perform other job-related duties as required
