Job Summary:

The Assistant Manager of Postal Services is responsible for direct supervision of Marist’s Post Office Clerks and Post Office student employees, overseeing the day-to-day operations of the mailroom, ensuring the accurate and timely procession of incoming and outgoing mail and packages, system administration and configuration of post office software, liaison to Information Technology.

Minimum Qualifications:

  • Associate's degree
  • 3 - 5 years of related experience
  • The ability to work in a rapidly changing technological and team-oriented environment is essential. Excellent customer service and communication skills a must.

Essential Functions:

Mail Operations Management

  • Supervise the day-to-day operations of the mailroom
  • Maintain accurate records of incoming and outgoing mail, tracking packages and managing relevant databases

Administrative Operations

  • Utilize post office software to streamline administrative processes
  • Collaborate with IT and software vendors to ensure the effective implementation and maintenance of post office software and computer hardware upgrades
  • Troubleshoot software-related issues and provide training to staff on software (including Banner and Argos) and mailing equipment functionality
  • Managing department budget, cash flow, reconciling invoices and producing financial reports

Team Leadership

  • Provide leadership and guidance to mail services staff, fostering a positive and collaborative work environment
  • Conduct training sessions for new staff and students with a specific focus on post office software and equipment
  • Effectively delegate tasks and responsibilities, monitoring performance and addressing issues as they arise

Customer Service

  • Interact with students, faculty, staff, parents, alumni and external partners to address mail-related inquiries and provide excellent customer service
  • Collaborate with other departments to streamline mail related processes to enhance overall efficiency and continuously improve service quality

Compliance and Security

  • Ensure compliance with Marist policies, postal service regulations, and security and protocols related to mail services
  • Implement and maintain security measures for the handling and delivery of sensitive or confidential materials

Vendor Management

  • Coordinate with vendors and courier services to ensure the best possible service

Other duties as assigned.

    • Typical eligibility requirements: 1 year of service and 1,000 hours with Marist University.
  • 403(b) Tax Deferred Annuity – Roth option available. Voluntary, up to IRS maximum contribution.
  • Tuition Benefits:
    • Up to 16 undergraduate credits per semester. Up to 18 graduate credit per academic calendar. Eligibility extends to employee, spouse, and dependent children under age 26.
    • University pays 100% tuition only.
    • Eligible dependents may be Reimbursed up to $2,000 per semester towards tuition at another accredited institution.

*Eligibility requirements including waiting periods and/or employee probationary periods may apply at the discretion of the University.
